14th Annual Broke & Bookish Secret Santa & Christmas Card Exchange Event Information

Posted October 22, 2023 by Jana in Blog Event, Bookish Little Christmas / 8 Comments

I can’t believe it, but here we are again! It’s time for one of my favorite parts of the holiday season: Broke & Bookish Secret Santa! Please make sure you read through the entirety of this post before signing up, even if you’ve done this a bunch of times, to ensure you’re clear on everything and aware of any changes!

This biggest piece of new information is that this year there will be a private, hidden Facebook group (open only to those participating) for this event! I wanted to give people another option for chatting with participants since Twitter (I refuse to call it X) doesn’t feel as safe as it used to for many of us. The hashtag will still be in use over there, and I’ll be hopping back and forth cross posting so I can still reach everyone. Feel free to do the same! You’ll be able to join with your blog/business page, your personal page, or you can even make a new account just for joining this group if you want to keep your online and personal lives separate. Anonymous posting will also be enabled for optimal stealthiness. I’ll do my best to pair you up with people who plan to be in the same place you are. I’m super excited about this, and think it’ll be such a fun place to hang out!

CHRISTMAS CARD EXCHANGE INFO:

This exchange is open internationally and you must be 18 years old or older. You can sign up to send 5 or 10 cards and will receive the same in return. Please note that this will not be divided up by countries, so you might be sending internationally. You are more than welcome to sign up for this exchange in addition to a Secret Santa package, and I will not be placing a cap on participants for this exchange.

SIGN-UPS CLOSE AT 11:59 PM MST ON NOVEMBER 16TH!
I will be emailing you your list of card recipients on November 17th.

If you want to sign up for the Christmas card exchange, please do so through the following links:

5 cards
10 cards

THINGS YOU NEED TO DO:

1. Mail your cards by December 3rd (ASAP if you’re sending internationally). Delivery times can increase during the holidays, so getting these out sooner rather than later makes it especially fun for those who enjoy hanging up or displaying their cards all season.

2. Once you have sent out all your cards, please fill out this form.

3. Writing a note (and not just signing your name) is not required, but encouraged, because it makes this exchange even happier and more special. Consider sharing the title of your favorite read of this year, including a yummy holiday recipe you love, or offering cheerful wishes for the holiday season or upcoming new year. Some people have enclosed a fun bookmark or sticker, too, which is such a fun idea. Take the opportunity to make some new friends!

4. This exchange highlights holiday cheer, so please do not include personal promotional/marketing materials in your cards.

5. Include some way for your card recipients to find/contact you online! If you only include your mailing address and name, they won’t be able to figure out who you are unless they write back… and since that is not a requirement of this event you might miss out on a new friend. A Twitter/Insta handle, blog link, or email address would be perfect.

6. Include the hashtag #TBTBSanta or mention the event name somewhere on the envelope or in the card so your recipient knows you’re from this event.

SECRET SANTA INFO:

1. You must be 18 or older to participate.

2. Please only sign up if you are committed to sending off a package on time. Really think about whether or not you’ll have the time and the money to send a thoughtful gift to your recipient–one you’d be happy to receive yourself.

3. Be as thorough as possible in your questionnaire (no amount of info is too much). Please utilize the event hashtag on Twitter (#TBTBSanta) or the Facebook group to ask questions, or reach out to the contact your recipient provided if you need help or clarification on what to send.

4. I personally send out confirmation emails when I receive your questionnaire so that you know your info is safely in my inbox and you’re on my list to pair. I send these emails within 24-48 hours of receiving your sign-up (usually much sooner). If you don’t receive a confirmation email, please write to me again. I don’t want you to be left out!

5. There are Google forms linked below in the “things to do” section for you to fill out when you have sent your package and when you have received your package. These forms will also be included in the email I send out with your recipient’s information. Please don’t forget to fill them out!

6. A note to people outside of the USA: Please understand that I can’t guarantee that you will be assigned to send to someone who lives remotely close to you. I try to work it out geographically, but it all depends on who signs up and which package they sign up to send.

Countries are divided up into mailing groups to help with shipping costs. If you live in one of the locations listed below, you will be placed in that mailing group and could be sending to any of the countries listed in that group. If you sign up for a package type that nobody else close to you has signed up for, you will be placed in a different mailing group. If you are unsure as to whether or not you can afford the shipping, please do a little research before you sign up. I will continually update this post with a list of countries where participants are from (and which mailing groups they are in) so you can see where you might potentially be sending your package. If you have questions, send me an email and we can discuss how to make this work for you!

Mailing Groups:

  • Canada (Packages B and C. Package A is not available this year.)
  • Europe Mailing Group 1: UK (England, Scotland, Wales) (Packages B and C. Package A is not available this year.)
  • Europe Mailing Group 2: Mainland/Continental Europe (The Netherlands, Ukraine) (Package C. Packages A and B are not available this year.)

7. I’m capping this event at 250 participants this year. If you sign-up after the cap has been reached, I will reply and let you know.

8. I can’t ensure that you will not be assigned to send someone you’ve sent to before, or someone you’ve been paired with in other swaps/gift-giving events.

If a family member or significant other is signing up for the same package type that you are and you want to make sure you are not paired with them, please note that at the top of your signup before your questionnaire answers so that it’s the first thing I see. Please tell me their full name and/or the email address they used to sign up with. Making it large and bold would also be helpful. Once emails go out, pairs are set in stone and I will not be able switch things around since many people start shopping immediately.

9. Please note that this is NOT a swap. You will not be sending to the same person who is sending to you.

Sign-ups close at 11:59 PM MST on November 14th
and I will send out pairings on November 15th.

HOW TO SIGN UP:

Some of these questions have changed since last year, so please be careful if you are copying and pasting last year’s questionnaire!

To sign up, send an email to TBTBSecretSanta (at) gmail (dot) com answering the following questions. (NOTE: Please do not attach a document to your email. Just copy and paste your answers directly into the body of the email. Please do not include any attachments that you want me to send on to your Santa.)

  1. Full Name & Mailing Address (Exactly as it should appear on the mailing label)
  2. Please choose which gift you will be sending to your recipient (I will be grouping people accordingly, so you will receive a package in the same tier you choose. Please note that ARCs have no monetary value and will, therefore, not count towards the item quantities listed here. Think of them as a fun bonus if you choose to include them.):
    A. 1 book and a small gift/goodie
    B. 1-2 books and a couple small gifts/goodies
    C. 2+ books and multiple small gifts/goodies
  3. Are you planning to be active on the #TBTBSanta hashtag on Twitter/X during this event? If so, please share your handle. (If you answer no, you will still be allowed to participate. This is just info for your Santa.)
  4. Will you be joining the private Facebook group for this event? If so, please write the name you will be joining with. (This is also not required, but I really encourage you to be active in at least one of these places because it’s more fun! You can join this group with your blog’s Facebook page or your personal account. You can also make a new account just to join this group if you want to maintain more privacy/keep your online and personal lives separate. Just let your Santa know how to determine who you are in there. Anonymous posting will be allowed, which means it’ll be easier for you to be stealthy with your questions! You can actually tag your recipient specifically if you need an answer from them and they won’t know who you are. The link to the group will be included in the confirmation email I’ll send you when your questionnaire is received.)
  5. If you answered no to both of the above questions, where will you be posting about your gift/thanking your Santa?
  6. Other social media handles/links: (Include any social media or blogs that will help your Santa get to know you. You MUST be active and not private on at least one social media platform in order to participate.)
  7. List of 10-15 books you’d like to read, or a link to a book wishlist: (Please include old and new releases and please do not ask for books that have not been released yet. Make sure your Goodreads profile or Amazon wishlist is public at least for the time this event runs. Double check that your link works while logged out of your account. Please keep your wishlist separate if you participate in other gift-giving events. Santas should not feel obligated to return anything if they discover that items from this exclusive list were purchased for them by someone else, and will be advised to send the duplicate item anyway.)
  8. Genres you read the most:
  9. List of your bookish preferences: (your favorite authors, things you will not read, if you prefer hardback or paperback, if you would prefer all ebooks, if you don’t care about book format at all, if you collect editions of certain books, if you are okay receiving a book not on your wishlist that your Santa thinks you would like, etc.)
  10. Food and other allergies:
  11. Would you be open to receiving homemade treats?:
  12. All the things about yourself: (Please tell your Secret Santa about yourself. The more they know about you, the better job they can do picking out your additional small gifts/goodies. For example: general info about yourself (pronouns, job, age, school/major, family, pets, etc.), if you celebrate Christmas or not, your hobbies/passions, music you love, smells or flavors you like/do not like, TV shows you watch, favorite movies, things you collect, fandoms you’re a part of, if you would love something native to where your Secret Santa lives, coffee/tea you like, candy/snacks you like, favorite colors, shoe/sock size, favorite patterns, your style/aesthetic, favorite animals, things you are obsessed with, etc. Also, if you have an e-reader and would be happy receiving ebooks or a gift card, mention that and include your preferred email address(es).)
  13. Would you be able to send internationally if needed? (This question mainly applies to people in the USA, since I can’t guarantee that you will not be sending internationally if you live outside the USA.) Please answer with:
    A. Yes, I can.
    B. No, I cannot.
    C. Would prefer not to but will if needed (be careful with this one, as you could be shipping anywhere.)
NA. I do not live in the USA, and understand that I might be sending internationally.
  14. Please confirm that you are 18 years old or older:
    A. Yes, I am.
    B. I am not.
  15. Have you participated in Broke & Bookish Secret Santa before, or is this your first time?:
  16. Please provide the contact information (name and Twitter handle/email address) of someone your Secret Santa can contact with questions about you: (This person does not have to know you well. They will only serve as the relayer of information between you and your Santa. Please ask this person to open their DMs on Twitter if this is how they prefer to be contacted. If you don’t know who to ask to be your contact, post to the event hashtag and ask for volunteers. If that idea makes you feel too anxious, you may put me down as your buddy and include either my twitter handle or the event email address. You don’t even have to ask me first.)
  17. Any questions, comments or additional things your Secret Santa (or I) should know?
  18. If you would like to sign up to receive an email notification when future Broke & Bookish Secret Santa sign-ups go live (always in October), please type out your preferred email address here.: (I will scan and remove duplicates from this list before emailing, so if you’re not sure whether or not you already signed up for this list it’s ok! You can ask me to remove you from this list at any point if you decide you no longer want to receive this notification, and I will promptly remove you.)

THINGS YOU NEED TO DO:

1. It is recommended that you mail your package by December 10th (perhaps earlier if you are sending internationally). This is a recommendation and not a shipping deadline. Please ensure your package arrives no later than December 24th.

2. If something comes up that will cause your package to be delivered after December 24th, please email me and let me know. I don’t need all the details if it’s personal, but communication is super important in an exchange like this. I will always be empathetic, understanding, and respectful of your privacy. If I have to chase you down to find out why your recipient did not receive anything from you, I will decline your sign-up request for future Secret Santa events I host. Exceptions will always be made if something catastrophic occurs, so if that happens please get in touch with me when you are able.

3. Please do not ship gifts directly from Amazon or elsewhere (unless you approve it with me first). Gifts should be thoughtfully chosen based on your recipient’s questionnaire, wrapped nicely, and sent in a box together. Please include some kind of a note or card.

4. Once you’ve sent your gift, please hold onto the tracking number and submit it through this formShipping delays and lost mail are not your fault. A tracking number proves you did all you could. :) If you’d rather email me a picture of your tracking number, please still fill out this form and specify you emailed me so I’ve got a record and know where to look.

5. Once you’ve received your gift, please fill out this form.

6. Be sure to thank your Secret Santa when you receive your gift. You can do this via social media or reach out to me for their email address. I know this should go without saying, but there have been some ungrateful people in the past who never reached out to their Santa to thank them or even acknowledged that they received their gift. That’s completely unacceptable, not to mention rude. People who do not thank their Santas will not be allowed to participate in future Secret Santa events I host.

Another note on thank you’s… Please acknowledge you received your gift even if you do not plan to open your gift until Christmas Day (or any day other than the day you received it). In this case, please say you received it publicly on social media or reach out to me for their email address. Your Santa is likely watching your online activity, eager to know that their gift is safely in your hands and has not been stolen or lost. You can thank them again after you’ve opened your gift and discovered their identity.

7. Please do not ask me to investigate where your package is until December 27th. I will be taking Christmas Day and the day after to spend with my family, and I will be happy to investigate the status of your package on the 27th. I will try my very best to work things out, but please understand that there is only so much I can do.

8. Please reach out to me through the event email with any questions or concerns, and not my Twitter DMs or my blog/personal Facebook pages. I juggle so many things with this event, and having everything in one inbox where it’s easy to manage means I won’t lose track of your message.

9. Please utilize the event hashtag (#TBTBSanta) or the Facebook group to ask questions, post hints, thank your Santa, and share in your shopping/gifting/receiving/sending process! Show us what you got! It’s also really helpful to search your person’s handle with the hashtag and see all the questions they’ve answered and the gifts they received in previous years. You can also search the Facebook group by your recipient’s name, which will bring up a list of all the posts they have made in the group and also all the posts they have commented on. Then you can sift through the comments to find theirs. It’s a little clunkier than searching the Twitter hashtag by keywords, but it gets the job done!

10. Please do not request a tracking number from your Santa on the event hashtag or in the Facebook group. This causes unnecessary stress for everyone involved in this event. If having the tracking number is important to you (because you live in a shared dwelling or will be traveling), please put that request in your questionnaire.

GIFT GUIDELINES & SUGGESTIONS:

1. Books can be new or used. Use your discretion as far as used books go, but please be kind and don’t send something you wouldn’t want to receive. They should be in very good condition. ARCs have no monetary value and should, therefore, only be included in addition to the number of books and goodies you committed to send.

2. When I say “goodies or small gifts”, I don’t mean free swag. If you think your recipient would really love and appreciate these kinds of items (maybe you have something cool signed by an author they love), feel free to add them after you’ve gathered some other thoughtful goodies. Please just make sure that these additional goodies are not all things anyone could have picked up at a book event or received from publishers in the mail.

3. Please do not include personal marketing or promotional materials (promotional bookmarks, postcard ads, business cards, book samplers, etc.) in the gift you send. This can appear as though you signed up only to promote your product/service, and takes away from the holiday cheer.

4. Regarding food items: Due to allergies and other health concerns, please do not send homemade food items unless your recipient mentions that they would like them. Pre-packaged, store-bought foods are encouraged! Please just make sure that they are wrapped/sealed in their original wrapping/packaging from the manufacturer. Sprinkling candy into the box like confetti is fine, it just needs to be individually wrapped to protect the health of your recipient.

5. Be thoughtful. Most of the time the gifts are really sweet and thoughtful, but occasionally someone throws random crap in a box to fulfill their commitment.

6. If you aren’t sure what kinds of things to add for the additional small gifts, peruse the #TBTBsanta feed on Twitter/Instagram or look through the media in the Facebook group to see pictures of packages from previous years. There are lots of good ideas!

Please ask any questions in the comments!!

2023 Christmas in July Event Info & Sign-ups

Posted May 30, 2023 by Jana in Blog Event / 0 Comments

Hi everyone! Santa is on the beach sipping fruit punch and working on his tan, so he has enlisted his helpers once again to help spread a little Christmas cheer this summer! Please read this post carefully!

Below you will find all event info, including the rules for the exchange, sign up directions, and a questionnaire so the person shopping for you can get to know you better.

THE DETAILS:

  • Sign-ups will close at 11:59 PM EDT on June 18th and I will be sending matches out on June 19th.
  • This event is open to residents of the USA ONLY. I ran a week-long poll on Twitter asking if people would like me to come up with an option for international participants, but interest was so low that I couldn’t. #TBTBSanta will be back to sign up for this October, and will be open internationally like always.
  • You must be 18 years old or older to participate.
  • Please only sign up if you are committed to sending your gift(s) so they arrive on time.
  • What you sign up to send is what you will receive. I will be grouping people up based on gift option and monetary tier so that everything is fair.
  • Shipping does not count towards the monetary value of the gift.
  • Due to lack of interest in the lowest monetary tiers for both gift types the last two years in a row, they have been discontinued.
  • Please note that this is not a swap. The person who will be sending to you is not the same person you will be sending to.
  • I can’t ensure that you will not be assigned to send someone you’ve sent to before, or someone you’ve been paired with in other swaps/gift-giving events.
  • The event hashtag is #GiftmasInJuly. Please use it lots because the friendships that form around events like these are the best!
  • If you and I don’t know each other, please reach out to me and introduce yourself. Follow me on Twitter so you can keep up with event updates. I like to know the people who are participating!
  • I will not be putting a cap on the number of people who can participate.

If you have any questions or concerns before or during this process, please reach out! You can simply write to ChristmasInJulyExchange@gmail.com and I’ll get back you as soon as possible.

GIFT OPTIONS AND MONETARY TIERS:

Sprinkle: A sprinkling of gifts that arrive randomly throughout the month! This option includes both digital items (ebooks, audiobooks, PDF craft patterns, gift cards, etc.) and physical items shipped directly from retailers. Please ensure you reveal yourself in some way (a snail mail card, email, e-gift note, etc.) when you’re finished sending gifts so your recipient knows they have gotten everything and who to thank!

  • Sprinkle 1: $20-$25 (excluding any shipping costs) Due to lack of interest, this option has been closed.
  • Sprinkle 2: $30+ (excluding any shipping costs)

Curated Box: This gift is a traditional, curated box (like TBTBSanta). You put together a physical box of goodies (along with a note to reveal yourself), preferably wrapped, and send it directly to your recipient.

  • Box 1: $20-$25 (excluding any shipping costs)
  • Box 2: $30+ (excluding any shipping costs)

Both gift options are wonderful and have their own perks, so choose whichever one works best for you!

SIGNING UP:

Please send the following completed questionnaire to ChristmasInJulyExchange@gmail.com. The more detailed you are, the easier it will be for your Santa to spoil you! Please do not send your answers as an attachment. Instead, please paste your answers directly into the body of your sign-up email. If you send in an incomplete questionnaire, I will reply and ask you to re-submit.

1. Gift Option and Monetary Tier Selection:

b. Sprinkle 2: $30+ (excluding any shipping costs)
c. Curated Box 1: $20-$25 (excluding any shipping costs)
d Curated Box 2: $30+ (excluding any shipping costs)

2. Do you live in the USA?
Yes
No

3. Are you 18 years old or older?
Yes
No

4. Name and mailing address:

5. Email address (This is where your digital gifts will be sent. If you have signed up for a curated box and would rather not receive digital items, you may type N/A here. Sometimes people enjoy sending ebooks in addition to the curated box, though, so you might want to include an email address anyway.):

6. Twitter handle (If you’re not active, don’t plan to be active, or will be more active somewhere else, please explain that here so your Santa knows where to watch for you.):

7. Where else can you be found online? (Blog, Instagram, YouTube, TikTok, etc.):

8. Your wish list(s) (Please provide links to any wish lists you have. These wish lists must remain exclusive to the Christmas In July Gift Exchange until you’ve received your gifts, or you run the risk of receiving duplicate items. Santas should not feel obligated to return anything if they discover that items from this exclusive list were purchased for them by someone else, and will be advised to send the duplicate item anyway.)

9. Discuss your digital preferences. (Do you have an e-reader? Which one? Would you enjoy getting an audiobook credit? Do you want any online subscriptions or gift memberships? If you would rather not receive digital gifts or would prefer to only receive digital gifts, please note that here.)

10. How do you practice self care?

11. What do you collect?

12. What are some of your favorite book genres/authors?

13. What won’t you read?

14. What fandoms do you belong to?

15. What are you always in need of?

16. What are your favorite things? (colors, patterns, fragrances, animals, hobbies, TV shows, movies, music, hobbies, foods/treats, etc.)

17. Do you have any allergies? What can’t you receive? (If you signed up for a curated box, this would be a great place to mention whether or not you would be ok receiving homemade food items.):

18. Share anything else your Santa needs to know about you. The more the better!

19. Please provide the contact information (twitter handle and/or email) of 1-2 buddies that your sender can contact with questions about you or information they need relayed to you. (This person does not need to know you well, they just need to be willing to be the go-between between you and the person sending to you. If you have nobody to ask, please post to the event hashtag and ask for a volunteer. If that idea makes you feel too anxious, you may put me down as your buddy and include either my twitter handle or the event email address. You don’t even have to ask me first.)

20. If you would like to sign up to receive an email notification when future Christmas in July sign-ups go live (always in May/June), please type out your preferred email address here.: (I will scan and remove duplicates from this list before emailing, so if you’re not sure whether or not you already signed up for this list it’s ok! You can ask me to remove you from this list at any point if you decide you no longer want to receive this notification, and I will promptly remove you.)

THINGS TO DO:

  • Ensure all gifts arrive to your recipient by July 31st. Use your best judgment for shipping dates, as there is no mailing deadline.
  • Once you’ve sent all of your gifts and revealed yourself (either through a gift note or a letter in the curated box you mailed), please fill out this form. If you signed up for any of the Sprinkle tiers, you can wait to fill this out as late as July 31st. Include any info you think would be helpful for me if I need to jump in and help, should any problems arise. I don’t need an itemized list or a bunch of order information unless you want to send it to me. I’m not here to monitor or judge what you send. I’m just here to make sure everything runs smoothly and be the go-between if we run into any issues. If you’re sending a curated box, a tracking number is all I need from you. Shipping delays and lost mail are not your fault. A tracking number proves you did all you could. :) If you’d rather email me a picture of your tracking number, please still fill out this form and specify you emailed me so I’ve got a record and know where to look.
  • Once you receive ALL your Christmas in July gifts, please fill out this form!
  • On August 1st, if you have not received all your gifts or know who your Santa is, please email me and I will investigate. Please understand that I will try my very best to work it out, but there is only so much I can do if someone decided to be selfish.
  • Be sure to thank your Santa in some way, whether through social media or email. Some people choose to send snail mail thank you cards, which is lovely but not required. If you have issues with the items in your gift, promptly thank your Santa and then reach out to me for help. People who do not thank their Santas will be asked to not participate in future Santa events that I host.
  • Please utilize the event hashtag #GiftmasInJuly to ask questions, post hints, share in your shopping/gifting/receiving/sending process! Show us what you got! This makes the event so much fun!

Please, please reach out to me if you need anything. I am more than happy to help you. If something comes up that causes you to be late, please email me and let me know. I don’t need to know the details if it’s personal, but communication is super important in an exchange like this. I will always be empathetic, understanding, and respectful of your privacy. If I have to chase you down to find out why your recipient did not receive what you agreed to send them, I will ask you to not sign up again (for both Christmas In July and TBTBSanta). Please don’t make me do that, because it probably causes me more pain than it does you. Exceptions will always be made if something catastrophic occurs, so if that happens please just talk to me when you are able.

GIFT GIVING GUIDELINES:

Please keep in mind that ARCs, promotional swag, and shipping DO NOT count towards the monetary value of the gift.

Due to allergies and other health concerns, please do not send homemade food items unless your recipient mentions that they would like them. Pre-packaged, store-bought foods are encouraged! Please just make sure that they are wrapped/sealed in their original wrapping/packaging from the manufacturer. Sprinkling candy into the box like confetti is fine, it just needs to be individually wrapped to protect the health of your recipient.

Be thoughtful! Don’t just throw something together from the donation pile in your home. Send something you would be happy to receive if you were your recipient. You don’t have to stick to a person’s wish list, but please pay attention to their questionnaire answers and send them things you genuinely think they would like. Please do not use this event as an opportunity to promote yourself, your book, your business, etc. The gift you give should focus on your recipient and their interests, and not on you.

Have so much fun shopping and spreading some holiday magic this summer!
Any questions? Ask in a comment below so my answers to you can help others who might be wondering the same thing. :)

13th Annual Broke & Bookish Secret Santa & Christmas Card Exchange Event Information

Posted October 24, 2022 by Jana in Blog Event / 2 Comments

I can’t believe it, but here we are again! It’s time for one of my favorite parts of the holiday season: Broke & Bookish Secret Santa! Please make sure you read through the entirety of this post before signing up to ensure you’re clear on everything!

SIGN-UPS CLOSE AT 11:59 PM MST ON NOVEMBER 15TH!
I will be emailing you your list of card recipients on November 16th.

6. Include the hashtag #TBTBSanta somewhere on the envelope or in the card so your recipient knows you’re from this event.

Please utilize the event hashtag on Twitter (#TBTBSanta) to ask questions, or reach out to the contact your recipient provides if you need help or clarification on what to send.

4. There are Google forms linked below in the “things to do” section for you to fill out when you have sent your package and when you have received your package. These forms will also be included in the email I send out with your recipient’s information. Please don’t forget to fill them out!

  • All participants in Canada are guaranteed to ship to someone else in Canada (if you sign up for package A and nobody else does, I will write to you and ask if you want me to move you to another tier or discard your sign-up).
  • All participants in the UK are guaranteed to ship to someone else in the UK (if you sign up for package A and nobody else does, I will write to you and ask if you want me to move you to another tier or discard your sign-up).

Mailing Groups:

Canada: (Packages B and C)
Europe Mailing Group 1: UK (England, Wales, Scotland) (Packages B and C)
Europe Mailing Group 2: Mainland/Continental Europe (The Netherlands, Belgium) (Packages B and C)

6. I’m capping this event at 250 participants this year. If you sign-up after the cap has been reached, I will reply and let you know.

Making it large and bold would also be helpful. Once emails go out, pairs are set in stone and I will not be able switch things around since many people start shopping immediately.

8. Please note that this is NOT a swap. You will not be sending to the same person who is sending to you.

Sign-ups close at 11:59 PM MST on November 13th
and I will send out pairings on November 14th.

  3. Twitter handle: (If you do not have a twitter account or are not active on a regular basis, please put N/A here.)
  4. Are you planning to be active on the #TBTBSanta hashtag on Twitter during this event? (If you answer no or do not use Twitter, you will still be allowed to participate. This is just info for your Santa.)
  5. If you answered no to the above question, where will you be posting about your gift/thanking your Santa?
Please keep your wishlist separate if you participate in other gift giving events.
They will only serve as the relayer of information between you and your Santa so I am not inundated with emails. Please choose a member of the book community and not a partner/spouse/parent. In the past, some people have felt awkward contacting people who have no ties to the bookish community. Please ask this person to open their DMs on Twitter if this is how they prefer to be contacted. If you have no idea who to ask to be your contact, post to the event hashtag and ask for volunteers or ask me for help and I will find you someone.)

8. Please reach out to me through the event email with any questions or concerns, and not my Twitter DMs. I juggle so many things with this event, and having everything in one inbox where it’s easy to manage means I won’t lose track of your message.

9. Please utilize the event hashtag (#TBTBSanta) to ask questions, post hints, thank your Santa, and share in your shopping/gifting/receiving/sending process! Show us what you got! It’s also really helpful to search your person’s handle with the hashtag and see all the questions they’ve answered and the gifts they received in previous years.

10. Please do not request a tracking number from your Santa on the event hashtag.

3. Please do not include personal marketing or promotional materials (bookmark/postcard ads, business cards, book samplers, etc.) in the gift you send. This can appear as though you signed up for the wrong reasons, and takes away from the holiday cheer.

6. If you aren’t sure what kinds of things to add for the additional small gifts, peruse the #TBTBsanta feed on Twitter or Instagram to see pictures of packages from previous years. There are lots of good ideas!

Please ask any questions in the comments!!

2022 Christmas In July Gift Exchange Sign-Ups

Posted May 19, 2022 by Jana in Blog Event / 1 Comment

Hi everyone! Santa is on the beach sipping fruit punch and working on his tan, so he has enlisted his helpers once again to help spread a little Christmas cheer this summer! And it’s going to work a liiiitle differently than last year, so please read carefully! If you send in your sign-up email from last year without editing it first, I’ll have to delete it and ask you to re-send it.

Below you will find all event info, including the rules for the exchange, sign up directions, and a questionnaire so the person shopping for you can get to know you better.

THE DETAILS:

  • Sign-ups will close at 11:59 PM EDT on June 16th and I will be sending matches out on June 17th. UPDATE: All matches have been emailed out!
  • Please note that this is not a swap. The person who will be sending to you is not the same person you will be sending to.

The digital-only option from the first year of Christmas In July has been retired due to lack of interest, but you can still note in your sign-up questionnaire for the “Sprinkle” option that you would prefer to receive all digital gifts.

Sprinkle: A sprinkling of gifts randomly throughout the month!

  • Sprinkle 1: $10-$15 (excluding any shipping costs) Due to lack of interest, this tier is closed.
  • Sprinkle 2: $20-$25 (excluding any shipping costs)
  • Sprinkle 3: $30+ (excluding any shipping costs)

Curated Box: This gift is a traditional, curated box (like TBTBSanta). You put together a physical box of goodies (along with a note to reveal yourself), preferably wrapped, and send it directly to your recipient.

  • Box 1: $10-$15 (excluding any shipping costs) Due to lack of interest, this tier is closed.
  • Box 2: $20-$25 (excluding any shipping costs)
  • Box 3: $30+ (excluding any shipping costs)

Both gift options are wonderful and have their own perks, so choose whichever one works best for you!

SIGNING UP:

Please send the following completed questionnaire to ChristmasInJulyExchange@gmail.com. The more detailed you are, the easier it will be for your Santa to spoil you! Please do not send your answers as an attachment. Instead, please paste your answers directly into the body of your sign-up email. If you send in an incomplete questionnaire, I will reply and ask you to re-submit.

1. Gift Option and Monetary Tier Selection:

b. Sprinkle 2: $20-$25 (excluding any shipping costs)
c. Sprinkle 3: $30+ (excluding any shipping costs)
e. Curated Box 2: $20-$25 (excluding any shipping costs)
f. Curated Box 3: $30+ (excluding any shipping costs)

(Blog, Insta, YouTube, TikTok, etc.):

(colors, patterns, fragrances, TV shows, movies, music, hobbies, foods/treats, etc.)

If you have nobody to ask, please post to the event hashtag and ask for a volunteer.)

Some people choose to send thank you cards, which is lovely but not required.

Exceptions will always be made if something catastrophic occurs, so if that happens please just talk to me when you are able so I can ensure that you are ok and your recipient is taken care of.

GIFT GIVING GUIDELINES:

Please keep in mind that ARCs, promotional swag, and shipping DO NOT count towards the monetary value of the gift.

Please do not send homemade food items unless your recipient specifically notes in their survey that they would like them. Pre-packaged, store-bought foods are fine (and encouraged!).

12th Annual Broke & Bookish Secret Santa & Christmas Card Exchange

Posted October 6, 2021 by Jana in Blog Event, Bookish Little Christmas / 1 Comment

I can’t believe it, but here we are again! You might be wondering why I’ve posted sign-ups so early this year. Mail is slow these days (and is only going to get worse as the holidays get closer), and the supply chain issue is a real concern. We’re being instructed to buy books for holiday gifts early to avoid not being able to get books at all! I want to make sure everyone can order the books they need. With that being said, t’s time for one of my favorite parts of the holiday season: #TBTBSanta!! After a highly successful inaugural Christmas card exchange last year, I will be continuing it this year as well!

Please note: I had major eye surgery this year (both eyes), and my vision will not stabilize until possibly April of 2022. Things are blurry and it’s very hard for me to read. I’m not even allowed to drive right now. I considered skipping this event this year, but knew that I couldn’t. I’d be sad and you’d be sad, and that just won’t do. I’ve decided to allow fewer participants this year, and I’m asking for your patience with me as well. It might take me longer to roll out pairings, I might be slower to respond to emails, you might see some typos, and I might be less active on Twitter. I’m still here for you, though, and this event will be just as wonderful as it always is! So let’s get to the good stuff!

CHRISTMAS CARD EXCHANGE INFO:

This exchange is open internationally and you must be 18 years old or older. You can sign up to send 5, 10, or 20 cards and will receive the same in return. Please note that this will not be divided up by countries, so you might be sending internationally. You are more than welcome to sign up for this exchange in addition to a Secret Santa package, and I will not be placing a cap on participants for this exchange.

SIGN-UPS CLOSE AT 11:59 PM MST ON NOVEMBER 7TH!
I will be emailing you your list of card recipients on November 8th.

If you want to sign up for the Christmas card exchange, please do so through the following links:

5 cards
10 cards
20 cards

THINGS YOU NEED TO DO:

1. Mail your cards by December 4th (ASAP if you’re sending internationally). The USPS typically takes 3-7 days to deliver snail mail within the USA, and we all know they pretty much don’t follow their rules and deliver things whenever they feel like it. I am assuming things are working similarly in other countries as well.

2. Once you have sent out all your cards, please fill out this form.

3. Include some way for your card recipients to find/contact you online! If you only include your mailing address and name, they won’t be able to figure out who you are unless they write back… and since that is not a requirement of this event you might miss out on a new friend. A Twitter handle or email address would be perfect.

4. Include the hashtag #TBTBSanta somewhere on the envelope or in the card so your recipient knows you’re from this event.

SECRET SANTA INFO:

1. For safety purposes, you must be 18 or older to participate.

2. Please only sign up if you are committed to sending off a package on time. Really think about whether or not you’ll have the time and the money to send a thoughtful gift to your recipient–one you’d be happy to receive yourself. I really don’t want to hunt you down for not sending your package, or for sending one that does not meet the guidelines for the event. I keep track of those who do not follow the rules, and those people will be asked to not participate in the future.

3. Be as thorough as possible in your questionnaire (no amount of info is too much).

Please, please fill them out. It makes things so much easier for me.

5. A note to people outside of the USA : Please understand that I can’t guarantee that you will be assigned someone who lives in your country. I try to work it out geographically, but it all depends on who signs up and which level of package they sign up to send.

Mailing Groups:

– Canada (packages B, C)
– Europe Mailing Group 1: UK (Northern Ireland, England, Scotland, Wales) (packages B, C)
– Europe Mailing Group 2: Mainland Europe (The Netherlands, France, Belgium) (packages B, C)

6. I’m capping this event at 125 participants this year. If you sign-up after the cap has been reached, I will email you to let you know. I will tweet out when we’re close to the cap, so watch my account and maybe don’t wait until the last minute to sign up!

7. I can’t ensure that you will not be assigned to someone you’ve been assigned to before, or who you’ve been paired with in other swaps/gift-giving events. It’s too hard for me to juggle that while also trying to pair you with someone you have something in common with.

If a family member/significant other is signing up for the same package type that you are (and lives in the same country) and you want to make sure you are not paired with them, please note that at the top of your signup before your questionnaire answers so that it’s the first thing I see. Making it large and bold would also be helpful because my vision is struggling after surgery this year. Once emails go out, pairs are set in stone and I will not be able switch things around since many people start shopping immediately. I’m not kidding. I’ve seen people claim they’ve already made their first purchase before I even finish emailing their mailing group. lol.

8. Please note that this is NOT a swap. You will not be sending to the same person who is sending to you.

The participation cap of 125 participants has been met,
and sign-ups are officially closed!
Pairing day is November 1, so get excited!

HOW TO SIGN UP:

Some of these questions have changed since last year, so please be careful if you’re copying and pasting last year’s questionnaire. I will have to ask you to re-send your sign-up email if these questions have not all been answered.

To sign up, send an email to TBTBSecretSanta (at) gmail (dot) com answering the following questions.(NOTE: Please do not attach a document to your email. Just copy and paste your answers directly into the body of the email. Please do not include any attachments that you want me to send on to your Santa.)

  1. Full Name & Mailing Address (Exactly as it should appear on the mailing label)
  2. Please choose which gift you will be sending to your recipient (I will be grouping people accordingly, so you will be expected to send out what you choose here. Please note that ARCs have no monetary value and will, therefore, not count towards the item quantities listed here. Think of them as a fun bonus if you choose to include them.):
    A. 1 book and a small gift/goodie
    B. 1-2 books and a couple small gifts/goodies
    C. 2+ books and multiple small gifts/goodies
  3. Twitter handle: (If you do not have a twitter account or are not active on twitter on a regular basis, please put N/A here.)
  4. Are you planning to be active on the #TBTBSanta hashtag on Twitter during this event? (If you answer no or do not use Twitter, you will still be allowed to participate. This is just info for your Santa.)
  5. If you answered no to the above question, where will you be talking about this event (i.e. posting a thank you)?
Please keep your wishlists separate if you participate in other swaps/secret people events.)
  8. Genres you read the most:
  9. List of your bookish preferences: (a few favorite authors, things you will not read, if you prefer hardback or paperback, if you don’t care about book format at all, if you collect editions of certain books, if you are okay receiving a book not on your wishlist that your Santa thinks you would like, etc.)
  10. Food and other allergies:
  11. Would you be open to receiving homemade treats?:
  12. All the things about yourself: (Please tell your Secret Santa about yourself. The more they know about you, the better job they can do picking out your additional small gifts/goodies. For example: general info about yourself (pronouns, job, age, school/major, family, pets, etc.), if you celebrate Christmas or not, your hobbies, your passions, music you love, smells or flavors you like/do not like, TV shows you watch, favorite movies, things you collect, fandoms you’re a part of, if you would love something native to where your Secret Santa lives, coffee/tea you like, candy/snacks you like, favorite colors, shoe/sock size, favorite patterns, your style/aesthetic, favorite animals, things you are obsessed with, etc. Also, if you have an e-reader and would be happy to receive ebooks or a gift card, mention that and include any email addresses associated with those accounts. The more info in this section, the better. I literally rejoice when I see a lot of words here.)
  13. Would you be able to send internationally if needed? (This question mainly applies to people in the USA, since I can’t guarantee that you will not be sending internationally if you live outside the USA.)
    Please answer with:
    A. Yes, I can.
    B. No, I cannot.
    C. Would prefer not to but will if needed (be careful with this one, as you could be shipping ANYWHERE)
NA. I do not live in the USA, and understand that I might be sending internationally.
  14. Please confirm that you are 18 years old or older:
    A. Yes, I am.
    B. I am not.
  15. Have you participated in Broke & Bookish Secret Santa before, or is this your first time? Have you participate in Christmas In July?:
  16. Please provide the contact information (name and Twitter handle/email address) of someone your Secret Santa can contact with questions about you: (This person does not have to know you well. They will only serve as the relayer of information between you and your Santa so I am not inundated with emails. Please choose a member of the book community and not a partner/spouse/parent. In the past, some people have felt awkward emailing people who have no ties to the bookish community and are not familiar with how this event works. Please ask this person to open their DMs on Twitter if this is how they prefer to be contacted. If you have no idea who to ask to be your contact, post to the event hashtag and ask for volunteers. You’ll find one quickly and make a new friend at the same time!)
  17. Any questions, comments or additional things your Secret Santa (or I) should know.

THINGS YOU NEED TO DO:

1. It is recommended that you mail your package by December 3rd (perhaps earlier if you are sending internationally). Please note that I said this is a recommendation and not a shipping deadline. Whenever you choose to mail your gift, please ensure it arrives before December 25th (that’s kind of the whole point of Santa, right?).

2. If something comes up that causes you to be late, please email me and let me know. I don’t need all the details if it’s personal, but communication is super important in an exchange like this. I will always be empathetic, understanding, and respectful of your privacy. If I have to chase you down to find out why your recipient received nothing from you, I will most likely ask you to not sign up next year. Exceptions will always be made if something catastrophic occurs, so if that happens please talk to me when you are able.

3. Once you’ve sent your gift, please hold onto the tracking number and fill out this form.

4. Once you’ve received your gift, please fill out this form.

5. Be sure to thank your Secret Santa when you receive your gift. You can do this via social media or reach out to me for their email address. I know this should go without saying, but I’ve had some ungrateful people in the past who never reached out to their Santa to thank them or even acknowledged that they received their gift. That’s completely unacceptable, not to mention rude. Ungrateful people will be invited to not participate in this exchange in the future.

Another note on thank you’s… Please thank your Santa even if you do not plan to open your gift until Christmas Day (or any day other than the day you received it). Yes, you can’t personally thank them yet since you don’t know who they are, but please say you received it publicly on social media. Your Santa is likely stalking you, eager to know that their gift is safely in your hands and has not been stolen or lost. You can thank them again after you’ve opened your gift and discovered their identity.

6. Packages are not late until January 3rd, so please do not contact me to investigate where your package is until that date. I will be taking time away to spend the holidays with my family. If you have not received your gift by January 3rd, please email me. I will try my very best to work things out, but please understand that there is only so much I can do.

7. Please utilize the event hashtag #TBTBSanta to ask questions, post hints, thank your Santa, and share in your shopping/gifting/receiving/sending process! Show us what you got! It’s also really helpful to search your person’s handle with the hashtag and see all the questions they’ve answered and the gifts they received in previous years.

2. When I say “goodies or small gifts”, I don’t mean free swag or promotional items. If you think your recipient would really love and appreciate these kinds of items, feel free to add them after you’ve put in some other thoughtful goodies. Please just make sure that those additional goodies are not all things anyone could have picked up at a book event or received from publishers in the mail.

3. Please do not send homemade or opened food items. Although, if your recipient mentions in their questionnaire that they would like homemade treats feel free to send them. Pre-packaged, store-bought foods are encouraged! Please just make sure that they are wrapped/sealed in their original wrapping/packaging from the manufacturer. Sprinkling candy into the box like confetti is fine, it just needs to be individually wrapped to protect the health of your recipient.

4. Be thoughtful. 99% of the time the gifts are really sweet and thoughtful and what you would expect, but occasionally someone just throws random crap in a box and ships it off to fulfill their end. I’ve seen people receive expired face masks, for crying out loud. Don’t be like that. Gifts should be thoughtfully chosen based on your recipient’s questionnaire and wrapped nicely. There should be some sort of note or card included.

5. Please do not ship directly from Amazon or elsewhere (unless extenuating circumstances arise and you approve it with me first).

6. If you aren’t sure what kinds of things to add for the additional small gifts, peruse the #TBTBsanta thread on Twitter or Instagram to see pictures of packages from previous years. There are lots of good ideas!

Please ask any questions in the comments!!
